Rental Fees/Revenues

4.4       Rental Fees / Revenues:

4.4.1     Except as provided for in 4.4.2, all monies generated from rentals/leases shall be shared between the school and the GVSD Operations department as follows:

25% - School
75% - GVSD Operations Department

4.4.2     Monies generated from election rentals shall be accrued to the respective school instructional budgets.

Class 6 - Community Softball/Baseball/Soccer Indoor Practices

4.3.6     Class 6 - Community Softball / Baseball / Soccer Indoor Practices.

School facilities may be used Monday to Friday during custodian hours and no later than 10:00 pm.

a)          Permits - A permit must be completed and paid for at the school at least 3 days prior to the date of the intended use.

b)          Supervision / Responsibility - The coach/manager who will supervise the practice must be identified on the permit. Adult supervision is required at all times.  The gym and change areas must be left in the same condition in which they were found.

c)          Damage / Negligence – Permit holders shall be billed extra for damages, or if a mess is left behind. Charges shall reflect the actual cost incurred for repairs and/or the extra cleaning.

d)          Rental Periods / Fees - The gym may be rented Monday to Friday during custodian hours and no later than 10:00 pm, when not used by school programs. A fee of $25.00 shall be charged per use. The gym may also be rented for weekends at the prescribed rate as per Section 4.3.4 - Short Term Use - of this Policy.  An additional $10.00 is charged for any school equipment e.g. hitting cage.

e)          Meeting - A permit will only be issued to coaches and/or managers who have attended a meeting with the principal/staff in which the proper use of the facility will be discussed. The meeting date will be established by the individual school.

f)          Cancellation – The school office should be notified as soon as possible.  The school will notify the user if a permit has to be cancelled or altered.

Equipment Use for Softball / Baseball:

g)         Proper indoor balls must be used at all times.  For hitting drills Jugs Lite-Flite or Polyballs (or equivalent) are the only balls that can be used. For throwing and pitching drills indoor practice balls with realistic seams may be used.  At NO time may regular balls be used for ANY drill.

h)         The hitting cage should be used for live hitting drills.  For the protection of the pitcher and/or pitching machine a protective screen should always be in place.  The pitching machine should be placed on a blue matt.  For toss drills a screen with a sock net should be used.  Curtains and walls are not to be used as backstops for hitting.

i)          Pitching drills may be performed with indoor balls only.  The pitches should be directed toward the SLIDING curtain where available.  The walls, the bleachers and the hydraulic main curtain may not be used as targets or backstops.

j)          Bleachers should be covered with mats if there is a chance of them being struck. The floor should be protected from the use of bats and screens with the proper use of mats.

k)         Non-marking running shoes must be worn by all users.

l)          If a problem with the facility occurs, the custodial staff or the school office should be notified as soon as possible.

Equipment Use for Soccer:

m)        Proper indoor FELT covered balls are to be used at all times.  At NO time may regular balls be used for ANY drill.

n)         The walls, the bleachers and the curtains may not be used as targets or backstops.

o)         Bleachers and areas directly behind the goals should be covered with mats if there is a chance of them being struck. Proper indoor nets must be used with precautions taken to protect the floor.

p)         Non-marking running shoes must be worn by all users.

q)         If a problem with the facility occurs, the custodial staff or the school office should be notified as soon as possible.

Class 5 - Long Term Use/Private Groups

4.3.5     Class 5 - Long Term Use / Private Groups of a sectarian or limited membership nature not included above.  Class 5 groups require long term lease agreements that will be negotiated on an individual basis based on:

a)         Rental Rates - Rates are available for Saturday/Sunday events including holidays and all non-rental periods. To assist new groups in getting established e.g. Church Groups, division facilities may be rented at the rates as found in Article 4.3.4 for an initial rental period of up to three years.  After three years, the rental rates will be increased on a graduated scale resulting in an annual increase of 25%.  The rental agreement shall be subject to an annual review.

b)         Damage Deposit - A damage deposit in the amount of one thousand dollars ($1000.00) must be submitted before the rental starts. The amount must be maintained should damage deposit funds be required to make repairs. The school Head Custodian will make a weekly rental report.

c)         Food - No food or beverages are to be served or consumed in rooms and/or areas in which the floors are carpeted or in gyms with wood floors.

d)         Responsibility – The group will be totally responsible for the opening and closing of the school building in compliance with the school's  standard operating procedures.  One key will be issued to a designated group representative,  with assurances that no other copies be made.  A lost key must be reported to the Supervisor of Operations immediately with any and all costs of replacing a lost key to be borne by the rental group in accordance with Policy Current Code ECAB of the Garden Valley School Division.

e)         Set Up / Clean Up - The group is responsible for the complete set up and clean-up of the facilities in their care, including the reporting of any problems and/or damage.  Any custodial services that have to be provided by Garden Valley School Division will be billed at actual division cost.

f)          Snow Removal - On days where there are no classes, the group will be totally responsible for all snow clearing, including sidewalks, parking lots and emergency exits (as required by fire code) in compliance with the schools standard operating procedures. Groups must use Division snow removal contractors and the use of Division owned equipment is at the discretion of the school and the cost of loss and/or damage to this equipment will be charged to the renter.

g)         Liability - Rental groups shall sign a liability waiver. Rental groups shall provide proof of comprehensive General Liability Insurance in an amount of not less than $1 million dollars, and that the Garden Valley School Division be named as an additional insured.
